Overview

The Escrow/Title Utility supports escrow and title banking operations, client service activities, account maintenance, vendor management processes, account analysis reporting, and administrative support functions. This role serves as a key operational resource for Specialty Deposit Services (SDS), ensuring timely client support, accurate recordkeeping, regulatory documentation management, and coordination with internal partners. Utility will also assist with other tasks within Specialty Deposit Services as needed.

Responsibilities

Client Service & Account Support

  • Provide customer care support and respond to client inquiries.
  • Research and provide incoming and outgoing wire transfer details, including required information, dollar amounts, dates, and account numbers.
  • Pull statements and check copies for client requests and account analysis.
  • Prepare Verification of Deposit requests by obtaining balance, date, and interest rate information and delivering documentation to clients or auditors.
  • Conduct initial account meetings through Teams, Zoom, or in-person sessions.
  • Coordinate setup of ECR, online banking services, and other treasury-related services for new accounts.
  • Collect and review required account documentation and forward to SDS for signature card preparation.
  • Distribute signature cards and track completion from clients.
  • Coordinate onboarding activities with GTP and facilitate implementation and training scheduling.
  • Support account maintenance activities, including adding, removing, or updating signers.

Vendor Management & Invoice Processing

  • Set up new vendors within the Vendor Management System (VMS).
  • Obtain and review required documentation including executed agreements, fee schedules, W-9 forms, and ACH forms.
  • Request GL numbers from Accounting for client invoice accrual tracking.
  • Submit vendors for approval and maintain vendor records.
  • Coordinate vendor setup within Accounts Payable systems.
  • Review invoices for completeness, approvals, coding, and processing requirements.
  • Maintain invoice tracking logs and monitor payment status through AVID.

Account Analysis & Reporting

  • Pull preliminary and final account analysis statements for management review.
  • Maintain monthly analysis reports including balances, ECR data, and account positions.
  • Organize and retain account analysis documentation and supporting records.

Administrative & SDS Support

  • Assist management with expense report preparation and Concur submissions.
  • Support managers with client research, inquiries, and operational requests.
  • Conduct client outreach regarding new products, services, and operational enhancements, including Instant Payment and Multi-Factor Authentication initiatives.
  • Provide cross-functional support for Specialty Deposit Services projects and operational needs as assigned.

Qualifications

  • High school diploma or equivalent education with three years of Customer service experience, or an Associate's degree in a related field with two years of customer service experience.
  • Familiarity with the new account opening process and commercial account structures.
  • Strong communication skills, both written and verbal, for interactions with internal and external clients and contacts.

Compensation

The base pay range for this position is USD $20.00/Hr. - USD $30.00/Hr. Exact offers will be determined based on job-related knowledge, skills, experience, and location.
